Field Force Automation

The field force automation modules help dairy companies and distributors

Centralized Sales Team Management

Managing the entire sales team and field force staff can be a hassle if the dairy deals with multiple vendors, outlets, distributors, and retailers, spread across a location. But when the Field Force Automation module is integrated with the app, companies can keep a track of every activity performed by on-ground executives and the sales team. They can track which outlets the field staff has visited today, their route plans, estimated targets, and whether they were able to close a deal or not.

Enhanced Activity Visibility

Personnel attendance is also a matter of concern since it usually doesn’t get recorded robustly. With dairy companies spending a lot of time and money on the sales team, it makes sense for them to have greater visibility of the team’s activity. The module allows the sales staff to capture an image for every outlet they visit, share the exact outlet location through GPS tracking, fill up details of stock indents and the total deliveries made to an outlet. The field staff can also capture product details like manufacturing date, expiry date, and more, with the module.

Easy invoice and reconciliation management

Field force automation provides accurate data of product demand vs dispatch for a vendor or a particular location. It is integrated with multiple banks as well as the GST portal to make it easier for the agents and vendors to pay for their respective stock and keep the tax book updated as well. It can generate invoices, tax computations and automated bank reconciliations seamlessly through a single platform. It also helps in managing agent commissions, TDS reports and reports of product returns due to different reasons.

Keep Accurate Track of Transactions

The module can map the CRN number, invoice number issued at various layers, and can store it in a central database for easy access. If an outlet agrees to sell products from the company, a digital signature of the vendor can be recorded in the app to act as an acknowledgment for the reception of stocks. This data can help the sales team to execute their journey plans and stay ahead of their competition by analyzing current market scenarios and customer demands.

Case Study

BRAC Dairy and Food Project was the first dairy company in Bangladesh to receive the ISO 22000 certification. When it first started, BRAC was producing 140,000 litres of milk every day. They were having difficulties in managing different manual tasks and had to do a lot of reworks. There was an unavailability of accurate as well as real-time data which was hampering their progress.

By implementing Vasista’s off-the-shelf ERP Milkosoft, BRAC was able to automate their entire supply chain. They reduced the amount of rework to be done and aligned with the best industry practices to increase production. Availability of real-time data and reports gave them more control over the business processes. Now BRAC operates 101 chilling centres and processes 250,000 litres of milk every day. It has more than 50,000 registered farmers and 1500 employees working in 101 chilling centres and processing 250,000 liters of milk per day.
